Organizing a Community Group Order for a Korean Church or Club

Running a bulk Korean order for a congregation or community group, from collecting money to splitting the box.

Collect money before ordering, not after

The single rule that prevents every subsequent problem. Publish a per-item price that already includes the shipping share and a small rounding buffer, collect in full, then order. Chasing 12 dollars from four people six weeks later is how organizers burn out. A buffer of about 10 percent covers exchange rate movement and weight estimates coming in high.

Estimating the shipping share before you know the weight

Use conservative per-item weights and quote a shipping share slightly high, then refund or credit the difference. Albums at 450 g, books at 500 to 800 g, food items at their package weight plus 20 percent. On a 15 kg box costing roughly 130 to 170 USD, a per-item share is easy to compute once and hard to renegotiate later.

Splitting the box on arrival

Sort into labeled bags before anyone arrives, not during pickup. A thirty-person order distributed from an open box at a gathering reliably produces two missing items and no way to trace them. A printed list checked off as each person collects takes ten minutes and prevents the entire class of problem. Anything unclaimed after the event should go into one labeled box with a written list rather than being left loose, because a missing item traced two weeks later is unrecoverable.

What not to include

Perishable food, anything requiring individual sizing decisions, and items where one person's specific preference could hold up the whole shipment. Group orders work best on identical items in quantity. The moment you are managing twelve different apparel sizes, the administrative cost exceeds the shipping saving. If apparel is genuinely required, collect measurements in centimeters on a form rather than asking people for their US size, which will produce a third of the order in the wrong fit.

On a thirty-person order of light items, the per-person shipping share typically falls to a fifth or less of what individual shipping would cost. On heavy items the saving is smaller in percentage terms but larger in dollars.
